While many of these steps can be completed simultaneously you will need to first reserve your space.
RESERVE TECHNOLOGY +
- Academic Buildings and Classrooms
- Technology for Academic Spaces can be requested through Institutional Media Service (IMS) Please review their planning guide.
- When you have determined your Technology needs submit a ticket (at least 2 weeks in advance) to request support.
- Student Union - Technology questions and requests can be submitted to [email protected]
- Athletic Facilities – Generally, technology support for athletic facilities need to be contracted with an outside vendor. Please contact Brian Williams at [email protected] before any outside vendor is contracted.
- Campus Theatres –
ORDER CATERING +
Catering for all on-campus events must be contracted through Catering Services. Visit the catering website and sign-in to place your catering order or to contact one of our catering team members.
REQUEST SET-UP AND CUSTODIAL SUPPORT +
To request support for special events you must submit a campus work order at least 10 business days in advance. If your event requires an estimate, these work requests must be received 15 working days prior to the event.
- Work Orders are submitted through your my.newpaltz.edu account under Employee Resources >> Facilities Work Request Form
Examples of event requests are:
- Deliver and pick up tables and chairs to exterior areas or buildings. Often events will require tables for catering, check-in and registration, and information fairs.
- Pick up and deliver oversized or heavy materials from our receiving facility to a building. Or moving heavy or oversized materials from an office or storage area to an event space.
- Rope off areas in a parking lot to reserve spaces for special events (must be approved by parking first)
- Estimates for ample power, outlets, extension cords or electrical support.
- Assistance with set-up for events of tables, chairs, stages or podiums.
ARRANGE SECURITY +
- Need to confirm this is the practice or if it needs to be reviewed.
The sponsoring organization is responsible for contact the University Police Department to determine if a campus event requires security based on the following criteria:
- The anticipated attendance for the event is more than 125 participants,
- The scope and nature of the event has possible risks to the health, safety, or wellbeing of the participants or to the campus population,
- The history of the event has security needs.

CAMPUS WIDE EVENT POLICIES
- Accessibility policies - It is a legal requirement that all activities sponsored at SUNY New Paltz are accessible. All advertisements, invitations and notices of the event should include the following statement. “We strive to host inclusive, accessible events that enable all individuals to engage fully. To request an accommodation or for inquiries about accessibility, please contact (name, email, phone) two weeks prior to the event.” For more information about making your event accessible, visit our Accessibility guide for Events page.
- Child Protection policies - In compliance with our Child Protection Policy, if non-student children under the age of 17 will be present at the event, the requestor must contact Internal Controls to confirmed that they are certified to have children at the event.
