Preparation
Please make sure that when you are preparing your mail to be picked up or brought to Mail Services that you lift all flaps into the "up" position so that the envelopes "nest" together and that they are facing the same direction. Also, PLEASE rubber band them together by department (in case your mail stop is share by two or more departments). This is very important when dropping mail into the chute outside the Mail Services department window.
Be sure to separate all types of mail that you are sending out by banding them together. This includes but is not limited to:
Air Mail
Stamped Mail
First Class Mail
Certified Mail
Each department should have at least two (but preferably three) trays for all outgoing mail - one for intra-campus mail, one for mail to be metered, and one for stamped mail.
Envelopes
If you have more than five pieces of paper to be mailed, please use a large envelope instead of overstuffing a small envelope.
When using large envelopes, please seal them manually.
Addressing
Remember that your account number must be on every single piece of outgoing mail. This helps us charge postage to the correct account and to help identify if your department has a piece of mail returned as undeliverable.
The USPS changed the Address Correction Requested endorsement to Address Service Requested. All envelopes will be preprinted with this endorsement. This will enable you to have incorrectly addressed first class mail returned to your attention at no charge. Anything other than first class mail with this endorsement will be returned to you at a fee.
Please address all departmental and student residence hall mail exactly as they appear on the following two pages.
